The members of the Idaho Education Association, Idaho’s oldest and largest public employee union, are looking for an enthusiastic and organized business assistant for various responsibilities in our business office

Job Function and Purpose:

Based in IEA’s headquarters in downtown Boise and under the supervision of the Director of Business and Finance, the business assistant is primarily responsible for processing and recording daily accounts payable transactions of the association and the IEA Children’s Fund. In addition, they support fellow business office team members.

Required Qualifications Include:

  • High school diploma or equivalent. 
  • One year of clerical or secretarial experience. Completion of academic college course-work, or vocational technical school may substitute for experience. 
  • One year of academic training in bookkeeping/accounting or of significant bookkeeping experience. 

Knowledge and Abilities

  • Proficiency in the use of Microsoft Office applications (i.e. Word, Excel, Outlook, Publisher, PowerPoint, etc.).

  • Self-directed; able to complete projects within timelines and without direct supervision.

  • Ability to learn advanced computer operations and electronic banking processes.

  • Effective verbal and written communication skills.

  • Strong bookkeeping skills in accounts payable and accounts receivable.

  • Knowledge of electronic record keeping. 

Duties:

  • Process and record IEA accounts payable and assure all invoices are correctly authorized and coded.

  • Maintain knowledge of accounting applications and Microsoft Office applications utilized by the Association. 

  • Provide budget and coding support to IEA staff as needed. 

  • Process and code per-diem forms for Association meetings and obtain proper authorizations. 

  • Assist in the budgeting process by providing data and reports, as requested.

  • Assist in the annual audit process by providing the auditors with account analysis and documentation, as required. 

  • Maintain and organize workplace by regularly filing check requests and accounts payable support documentation in a timely manner. 

  • Date stamp and distribute daily business office mail. 

  • Assist with daily bank deposits and recording of cash receipts. 

  • Assist with membership processing in the membership database system. 

  • Assist IEA leaders and staff with inquiries related to membership records and requests for membership reports, forms and other materials as requested. 

  • Assist with cash receipts and accounts receivable functions, as assigned. 

  • Assist with clerical duties, including filing and record management. 

  • Assist with the administration of payroll and employee benefits records. 

  • Assist with preparation of required state and federal reports. 

  • Share responsibility for covering phone calls in the IEA central office. 

  • Maintain confidentiality of IEA financial and HR/benefits records. 

  • Perform other relevant duties, as assigned.

Compensation:

Annual salary range is $46,902-$61,478 and will be based on experience. Generous benefits package including full family health, dental, and vision insurance; paid vacations and holiday leave; and 401(k).
